Event Checklist

  1. Identify the desired guests and desired event/program outcomes
  2. Identify the event details: date, times, location etc.
  3. Secure the date
    Complete the Secure the Date Form and allow two months prior notice before the date of your event.
  4. Reserve the space
    Complete a Space Request Form after receiving confirmation that your date is secured and allow two months prior notice before the date of your event.
  5. Determine the event needs and identify and contact service providers
  6. Plan the event or program
  7. Confirm the space, service providers
    Allow one week prior notice before the date of your event.
  8. Execute your Event
  9. Wrap up your event by assessing and cleaning

Reserve a University Fleet Vehicle

You can reserve University Fleet Vehicle for University approved activities!

All drivers must be approved by the Campus Security Office. The University also has an agreement with National Car Rental & Enterprise Car Rental for faculty and staff use.

Please allow at least one week prior notice.

Can I reserve space on campus and how can I do this?

Yes, please complete the steps in the Event Checklist. Groups can contact the Campus Experience team, call (937) 766-4444 or email events@cedarville.edu for questions and information.

Which space is best suited for my event/program?

The University has been blessed with great resources. The general rule is that classrooms are designed for classrooms and event space for events/programs. Classrooms have a pre-determined layout where event spaces can have a variety of layouts. What is the difference between a meeting/discussion and an event/program?

A meeting/discussion generally utilizes the space as-is and does not have major setup needs. The meeting might have a few folding tables for food/beverages. An event/program generally has specific setup needs (tables, chairs, stage, pipe, and drape) which requires utilization of specific University event space. How much lead time is required to reserve space on campus?

This depends on your needs and the space you are requesting. If you only require space and you do not require a setup or services (Pioneer, AV, PSG) you will need to reserve your space 24 hours prior to your desired occupancy time. If you require setup or services, you will need to reserve your space two months prior to your desired occupancy time. What supplies are available for my event/program?

The Campus Experience office has been able to acquire several event supplies over the years and they are available for your on-campus University event/program. These supplies can be requested when you reserve your space for your event/program.
